How To: Organize a T-Shirt Order

So you were nominated to organize a t-shirt order and have no idea where to begin? No problem. Organization can be a hassle, but, if you know what needs to get done, you can simplify it quite a bit. Here are a few quick steps to get you on the right track.

 

  1. 1. Decide where you are going to order your t-shirts. In order to get an accurate cost estimate, you will need to know what style and color shirts you want, how many colors will be in your artwork, how many locations you wish to print on the shirt, and when you need them. You don't have to make all these decisions yourself, the company printing your shirts can help you, but the answers will effect the cost of the shirt. Don't be afraid to ask what the most cost effective solution is if you're on a tight budget.

  2. 2. Finalize your artwork. You might have an idea of what you want on your shirt, you might have production ready artwork in hand, you might have nothing at all. Regardless, the art department at your printer will be able to supply you with a strong design to deliver your message with style. Just let them know what you have and they'll take it from there.

  3. 3. Figure out the best way to take orders. There are two effective ways to collect size and quantity information from everyone in your group. For smaller orders, the best solution is to have the screen printing company put together an order form for you to distribute and collect. If you have a larger number involved, why not find out if the company printing your shirts has the ability to take orders online?

  4. 4. Make sure you give appropriate response time and a definitive deadline. Don't stress yourself out waiting for stragglers; instead, tell everyone that you need the orders in by a specific date and then send out reminders a couple days before they're due. If someone doesn't meet the deadline, chances are the stragglers can put together a second order, as long as there are enough of them. In the meantime, those who were on top of things will receive their shirts.

  5. 5. Collect payment with orders. Chances are likely you're going to have to pay half, if not all, of the money when placing your order so make it easy on yourself and tell your group you need their payment with their orders. It will keep you from going crazy trying to collect the money later.

  6. 6. Get the order rolling. As soon as you have your order information ready, turn it over to your sales representative so the printing can begin!

  7. 7. Deliver your shirts. Collect your shirts at least a couple days in advance so you have time to organize and deliver before the event if necessary. If you have a larger order, you may be able to have your screen printer sort the orders for you and bag them by individual.

  8. 8. Bask in the glory. You're done, your group sees you as a hero, and hey—you've got a pretty cool shirt now so sit back, relax, and enjoy your event.
